Introduction

Community Futures Grenville (CFG) works to provide the highest quality service to Grenville County. Please follow our Customer Comment Policy if you wish to comment on the quality of Community Futures Grenville service; the denial of service; the conduct of our staff, our Board or any Committee of the Board; and/or our operational policies and procedures. Community Futures Grenville is committed to treating everyone involved in this process in a fair and respectful manner.

What to Consider When Submitting Comments

  • Is the comment about Community Futures Grenville’s quality of service, denial of service, or conduct of its staff or Board or a Committee of the Board?
  • Is the comment about Community Futures Grenville’s policies and procedures or the failure of Community Futures Grenville to apply its operational policies or procedures?
  • Have you raised the matter directly with the involved staff member and/or the staff member’s supervisor?
  • Did you try to resolve the matter informally with the staff member or the supervisor?

Any information that you provide us with will be kept confidential except where it involves interactions with the involved staff.

How to Make a Comment

A. Comments About Community Futures Grenville Staff

  1. Comments about Community Futures Grenville staff are to be raised directly with the involved staff member. The involved staff member and if required, their supervisor, will make every attempt to resolve the issue informally.
  2. If a matter is not resolved:

Describe what happened, where and when it occurred, and provide the names of any witnesses. Please suggest how you would like the matter to be settled.

    b) If you need help writing your comments, contact the Executive Director at This email address is being protected from spambots. You need JavaScript enabled to view it. or at 613-925-4275 ext. 1.

  3. The Executive Director will send you an acknowledgement letter within 30 days of receiving your comment. The letter will acknowledge receipt of the comment and may request further information.
  4. The Executive Director or her representative will advise the involved staff member about the comment and share all relevant documents, including the comment, with the staff member.
  5. The Executive Director or her representative will investigate the comment and attempt to resolve it within 60 days of the date of the acknowledgement letter.
  6. The Executive Director or her representative may request that the staff member or the supervisor provide a written response to the comment.
  7. The Executive Director or her representative will send you a written decision, including the reasons, within 60 business days of the acknowledgement letter. If the matter involves a staff member, a copy of the decision will be provided to the staff member.

B. Comments About A Community Futures Grenville Service, Denial of Service, Policy, or Operational Procedure

  1. If the comment is about a Community Futures Grenville service, denial of service, operational policy or procedure or the failure to apply an operational policy or procedure:

  2. The Executive Director will send you an acknowledgement letter within 30 days of receiving the comments. The letter may request further information.
  3. The Executive Director or her representative will investigate the comment and attempt to resolve it within 60 days from the date of the acknowledgement letter.
  4. The Executive Director or her representative will send you a written decision, including reasons, within 60 days of the date of the acknowledgement letter.
  5. If you are satisfied with the Executive Director’s decision, the comment will be closed. If you are not satisfied with the decision, you can request, in writing, that the Chair of the Community Futures Grenville Board of Directors review the decision.
  6. The Chair of the Community Futures Grenville Board of Directors will review the matter and may:

    a) Discuss the comment with the Executive Director or her representative in an attempt to resolve the matter;

    b) Offer you an opportunity to provide more information or comments or take part in a meeting; and/or

    c) Make a decision based upon the information received.

  7. The Chair of the Community Futures Grenville Board of Directors will send you his/her written decision.

C. Comments about the Executive Director

Comments about the Executive Director are to be sent to the Chair of the Community Futures Grenville Board of Directors.

D. Comments about the Chair of the Community Futures Grenville Board of Directors

Comments about the Chair of the Community Futures Grenville Board of Directors are to be sent to the Vice Chair of the Community Futures Grenville Board of Directors.

Under What Circumstances will my Comment Not be Addressed?

The Executive Director or the Chair of the Community Futures Grenville Board of Directors or the Vice- Chair of the Community Futures Grenville Board of Directors will not address a comment if:

  1. You do not identify yourself or you do not provide us with your address and one of either a telephone number or an email address;
  2. You do not reply to our requests for further information; or
  3. The matter has already been raised and addressed by Community Futures Grenville.
